Day-of Production Assistant (Part-Time)
JOB RESPONSIBILITIES: As a day-of production assistant for Kaushay & Co. Events, you will be asked to:
- Attend virtual pre-event meetings to understand the event scope and goals.
- Communicate professionally with vendors, team members, and clients on event days.
- Help with setup of the event, including tables, chairs, tablescapes, stationery, and more.
- Represent the company at weddings and industry events professionally.
- Be able to lift 25-35 pounds.
- Assist the lead and assistant planners in making sure events run smoothly and stay on schedule.
- Be a team play and be helpful to vendors by being willing to pitch in when needed.
- Support the team with other tasks as needed during the event.
- Build and maintain professional relationships with venues and vendors.
QUALIFICATIONS:
- 1-2 years of experience in event production (preferred).
- Currently pursuing or holding a degree in Event Management, Event Planning, Experience Design, or a related field (preferred).
- Attention to detail and strong organizational skills.
- Self-motivated and proactive mindset.
- Ability to manage multiple tasks at one time.
- Ability to handle stress well.
- Ability to stay patient and understanding during high-stress situations.
- Ability to take direction well.
- Ability to work on a team well.
WHAT WE OFFER:

SCHEDULE & AVAILABILITY:

Wedding & Event Planner (Part-Time)
JOB RESPONSIBILITIES: As a wedding and event planner for Kaushay & Co. Events, you will be asked to:
Client Relations & Sales
- Conduct consultation calls with potential clients to showcase our services and team, secure bookings, and prepare contracts and invoices to finalize agreements.
- Serve as the primary point of contact for clients throughout the planning process.
- Conduct virtual and in-person meetings to assess client needs, vision, and budget.
- Build strong relationships with clients to foster trust and ensure satisfaction.
- Follow up with clients to ensure a positive post-event experience.
Event Planning
- Maintain accurate records of client communications, contracts, and vendor details.
- Build and maintain professional relationships with venues and vendors.
- Assist clients in creating and managing their budget, ensuring expenses align with priorities.
- Research and recommend venues, vendors, and other resources tailored to client needs.
- Manage vendor relationships, including initial outreach, contract review, and ongoing communication.
- Coordinate and schedule vendor meetings, walkthroughs, and tastings.
- Conduct venue walkthroughs and site visits to assess layouts and logistical needs.
- Develop and manage detailed event timelines, production schedules, and floor plans.
- Prepare and distribute detailed timelines, diagrams, and itineraries to clients and vendors.
- Conduct post-event evaluations to identify successes and areas for improvement.
Event Production
- Oversee all aspects of event logistics, including timelines, layouts, and staffing.
- Anticipate potential challenges and develop contingency plans for key event elements.
- Coordinate and oversee all vendor deliveries, installations, and services on event day.
- Manage setup of the event, including tables, chairs, tablescapes, stationery, and more.
- Ensure the event stays on schedule and troubleshoot any day-of issues.
- Address any unexpected issues or emergencies calmly and efficiently to maintain event quality.
- Be able to lift 25-35 pounds.
Team Leadership & Supervision
- Lead and supervise assistant planners, day-of assistants, and support staff, assigning tasks and ensuring smooth collaboration.
- Delegate tasks to assistant planners to allow for hands-on learning opportunities.
- Communicate clearly with the event team to delegate responsibilities and ensure tasks are completed efficiently.
- Conduct virtual pre-event meetings to train day-of production assistants about the event scope and goals.
Professional Development & Company Representation
- Represent the company at networking events, bridal shows, and vendor meetings to build industry connections.
- Provide feedback and insights to improve the company’s processes and services.
- Stay updated on industry trends, best practices, and emerging technologies to offer clients innovative solutions.
- Pursue continuing education opportunities, certifications, or workshops to enhance planning expertise.
QUALIFICATIONS:

SCHEDULE & AVAILABILITY:
- Flexible schedule with occasional nights and weekends during the busy season (March–October) to support scheduled events.
- Primarily remote work during traditional business hours, with occasional in-person meetings with clients as needed.
- Expected to be on-site for all wedding days, ensuring smooth event execution.
- Work a minimum of 10 hours per week, with a maximum of 30 hours per week, depending on workload.
- Event shifts range from 8 to 18 hours, including appropriate breaks, based on event needs.
- Schedule is set far in advance and accommodates flexibility for planning and personal commitments.
- Seasonal workload with peak in-person activity from March to October and lighter in-person workloads during the off-season.
- Reliable transportation is required for travel to venues, meetings, and events within the service area.
